ADMIN AND GENERAL

Position Vacant: PERSONAL ASSISTANT to the General Manager

Job Skills:
  • Creating and maintaining office systems, including data management and filing; arranging travel, flights, visas and accommodation
  • Managing and preparing guest communications
  • Screening phone calls, enquiries and requests, and handling them when appropriate;
  • Managing the calendar of the General Manager and all activities
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the Manager;
  • Taking notes and minutes;
  • Carrying out background research and presenting findings;
  • Producing documents, briefing papers, reports and presentations;
  • Organizing and attending meetings and ensuring the Manager is well prepared for meetings;
  • Liaising with partners, suppliers and other staff
  • Must be fluent in English (written and spoken). Additional   language would be beneficial
  • Must be very familiar with computer office systems (Outlook, Excel, Word, PowerPoint, etc)
  • Must have a good typing skills
  • Must be able to create documents and presentations unsupervised
  • Must be comfortable to meet guests and clients on behalf of the Manager and deal with difficult situations
  • Must be able to work on short and demanding deadlines
  • Must be very organized in all work
  • Must be flexible with working hours
  • Must be able to cope with island life and to live in multi cultural environment
  • Must be able to commit to a one year contract, with preference given to 2 years availability
  • 2-3  years of experience in an equivalent level of a 5 star Hotel/Resort
